Privacy Policy

1. Who is responsible

Ownnox is the data controller for account and website data. For project data that a business uploads about its own clients, suppliers and workers, that business is the controller and we act as its processor. Contact: office@ownnox.com.

2. Data we collect

We collect only what is needed to run the service:

• Account data: name, email, phone, business name, role and language preference.
• Project data you or your team enter or upload: projects, tasks, documents, invoices, quotes, delivery notes, photos, site reports, meeting recordings and their transcripts.
• Data from services you choose to connect (for example Google Calendar, Google Drive, Microsoft 365, Dropbox, Zoom or Monday) — only within the permissions you approve.
• Technical data: IP address, browser type, sign-in events and error logs, used for security and troubleshooting.
• Demo requests: name, email, phone and company details you submit on the website.

3. How we use data

We use personal data to:

• provide, operate and secure the service, including sign-in and two-factor authentication;
• read uploaded documents automatically (for example invoices and contracts) and summarise meetings, at your request;
• send service emails such as invitations, sign-in links, reminders and meeting summaries;
• respond to support and demo requests;
• meet legal, tax and accounting obligations.

4. AI processing

Some features send document contents or recordings to AI providers (Anthropic and OpenAI) to extract data, transcribe or summarise. These providers process the data on our behalf under contractual terms that prohibit using it to train their models. Results are shown to you for review; nothing is approved for payment automatically.

5. Google user data

If you connect a Google account, Builtfox requests only the scopes needed for the feature you turn on: Google Calendar events (to show your project meetings and add events you create in Builtfox to your calendar) and read-only Google Drive access (to import project files you select).

Builtfox's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not sell Google user data, do not use it for advertising, do not use it to train AI models, and do not allow humans to read it except with your consent, for security purposes, or where required by law.

You can disconnect Google at any time from the app's settings or from your Google account permissions page; we then delete the stored tokens and the copies made by the sync.

6. Sharing

We do not sell personal data. We share it only with the service providers that run Builtfox — hosting and database (Supabase, EU region; Vercel), email delivery (Resend, Postmark), AI processing (Anthropic, OpenAI) and the integrations you connect — and with authorities where the law requires it. Inside a business account, data is visible to the team members and clients that the business grants access to.

7. Storage and security

Data is stored in the European Union. We use encryption in transit and at rest, row-level access control per business, mandatory two-factor authentication for staff accounts, and audit logs for access to sensitive documents.

8. Retention

We keep account and project data while the account is active. After an account is closed we delete or anonymise it within 90 days, except records we must keep by law (such as invoices and accounting records, typically up to 7 years).

9. Your rights

Depending on where you live (including under the GDPR and the Israeli Privacy Protection Law), you may request access to, correction, deletion or export of your data, object to or restrict processing, and withdraw consent. Write to office@ownnox.com; we reply within 30 days. You may also complain to your local data-protection authority.

10. Cookies

We use only essential cookies needed to keep you signed in and protect your session, plus privacy-friendly website statistics that do not use cookies or track you across sites.

11. Children

Builtfox is a business service and is not intended for anyone under 18.

12. Changes

We may update this policy. The date at the top shows the latest version; for significant changes we will notify account owners by email.
